The short version. We collect what we need to test your eyes, make your glasses or contact lenses, bill you and keep you updated — mainly your name, mobile number and prescription. We never sell your data. We send order updates on WhatsApp, and offers only if you agree. You can ask us to show, correct or delete your data at any time by visiting either store, messaging us on WhatsApp, or writing to [privacy@your-domain].
1. Who we are
Jain Opticals is an optical shop in Durg, Chhattisgarh, run since 1987 as a sole proprietorship of [PROPRIETOR NAME] (GSTIN 22ACGPJ6175K1ZH). We have two stores and our own lens-fitting workshop:
- Priyanka Complex (since 1987) — Priyanka Complex, 02, Durg, Chhattisgarh 491001
- Maharaja Chowk (since 2024) — Yatiraj Complex, Maharaja Chowk, Potiya Rd, near HM Soundarya, Adarsh Nagar, Durg, Chhattisgarh 491001
For the purposes of the Digital Personal Data Protection Act, 2023 (“DPDP Act”) and the Information Technology Act, 2000, we are the Data Fiduciary: we decide why and how your personal data is used, and we are responsible for it.
This policy covers:
- everything you share with us in our stores, over the phone and on WhatsApp;
- our website sightnsoul.com and our order-tracking site track.sightnsoul.com; and
- the records we keep about you in our shop software (joai.sightnsoul.com, used only by our staff).
Our staff have a separate notice that explains how we handle their data at work.
2. What we collect
We only collect what we need for the purposes in section 4. Depending on what you buy, this can be:
| Type of data | Examples |
|---|---|
| Identity & contact | Name, mobile number, alternate number, email, address and city. If one family member orders for others, we link the family’s records under one main number. |
| Eye & health data | Spectacle and contact-lens prescriptions (power, axis, addition, base curve, diameter), eye-test results, and anything you tell us about your eyes that affects the lenses we make (for example, a squint or a recent eye operation). |
| Orders & payments | Frames, lenses and other items ordered, prices, discounts, advance and balance, payment method and UPI reference, bills and GST invoices, warranties, repairs, returns. |
| Photos & notes on your order | Photos of a prescription slip you show us, of your frame, or of a repair, and notes such as a delivery address or special instructions. |
| Messages & feedback | WhatsApp messages between you and the shop, a record of the updates we sent and whether they were delivered or read, your star rating and comments. |
| Loyalty, reminders & appointments | Points earned and redeemed, eye check-up and contact-lens reorder reminders, appointments. |
| Website data | The order number or mobile number you type into the tracking site, and standard server logs (IP address, browser type, page requested and time). |
Your prescription and eye-test results are health information. Indian law treats this as sensitive personal data, and so do we: only staff who need it to serve you can see it.
We do not collect Aadhaar, PAN, bank account, card numbers or UPI PINs. When you pay by UPI or card, the payment is handled by your bank or payment app; we only see that the payment arrived.
3. How we collect it
- From you, at the counter, by phone or on WhatsApp.
- From our eye test, when our optometrist checks your vision.
- From a prescription you bring, written by your eye doctor.
- From a family memberwho places an order for you. If you give us someone else’s details, please make sure they are happy for you to do so.
- From our older records. If you shopped with us before, your earlier purchases and prescriptions were moved from our previous billing system into our current one, so we can see how your prescription has changed over time.
- From our websites, when you track an order, leave feedback, or send an enquiry from our online shop.
4. Why we use it
We use your personal data only for these purposes:
- To test your eyes and make your eyewear: to record your prescription, choose and fit lenses, order lenses from lens manufacturers, and fit them in our workshop.
- To keep you updated about your order: order confirmation, “ready for pickup” and delivery messages, and the order-tracking page.
- To bill you and keep accounts: invoices, GST returns and the accounting records Indian tax law requires us to keep.
- For after-sales service: warranties, repairs, remakes, exchanges and complaints, and so we can make a matching pair again if you lose your glasses.
- For reminders you can switch off: an eye check-up about 12 months after your purchase, and a contact-lens reorder about 6 months after delivery.
- For our loyalty programme: to add and redeem your points.
- For offers and new arrivals, only if you agree (see section 5).
- To improve our service: reading your feedback and looking at overall sales and stock numbers.
- To protect you and us: preventing fraud, keeping our systems secure, and meeting legal obligations or defending legal claims.
Our legal basis. When you place an order you give us your details for that purpose, and we use them for it. For anything optional, such as offers, we ask for your consent first and you can withdraw it at any time. We also process data where a law requires us to, such as keeping tax records. We will ask you again before we use your data for a new purpose.
5. WhatsApp, reminders & offers
We send messages from the shop’s verified WhatsApp Business number, through Meta’s WhatsApp Business Platform.
- Order updates (confirmation, ready for pickup, thank-you) are part of the service you ordered. Tell us if you would rather not receive them, and we will call you instead.
- Reminders (eye check-up, contact-lens reorder) can be switched off at any time. Just tell us.
- Offers and new arrivals are sent only if you have agreed to receive them, and not more often than about once a week. To stop them, reply STOP or tap “Stop promotions” on any offer. We will stop straight away and keep your number on a do-not-send list so it stays stopped. Reply START if you change your mind.
Stopping offers does not affect your orders, warranty or loyalty points.
6. Our software and AI tools
Our staff keep your records in shop software we run on our own servers. Some features use artificial intelligence (AI) to help staff work faster, for example:
- finding your past orders when you describe them;
- reading a prescription slip from a photo, so staff don’t have to type it;
- writing a short summary of an order, or checking it for mistakes such as a missing lens power;
- preparing daily sales and stock summaries for the owner.
To do this, the relevant details (which may include your name, order and prescription) are sent to an AI service provider that processes them on our behalf and returns the result. We send only what the task needs. AI does not make decisions about you: a member of staff checks every prescription, price and order before it is used.
8. Processing outside India
Some of our providers, such as Meta and our AI service provider, may process data on servers outside India. The DPDP Act allows this except to countries the Government of India restricts. We will stop any transfer to a country that is restricted.
9. How long we keep it
We keep personal data only as long as we need it for the purposes above, or as long as the law requires.
| Data | How long |
|---|---|
| Bills, GST invoices and payment records | 8 years from the end of the financial year, as tax law requires. |
| Customer profile, prescriptions and order history | While you remain our customer, and up to 5 years after your last purchase or visit. We keep it this long so we can compare your prescriptions and remake glasses. You can ask us to delete it sooner. |
| WhatsApp messages and feedback | Up to 3 years. |
| Online shop enquiries | Deleted automatically 12 months after we last worked on them. If an enquiry turns into a purchase, the purchase is kept as described above. |
| Website server logs and security logs | At least 1 year, as the DPDP Rules require, and then deleted. |
| “Stop offers” list | For as long as we send offers, so your choice keeps being respected. |
When a retention period ends, we delete the data or anonymise it so it can no longer identify you.
10. How we protect it
- All our websites and our shop software use encrypted HTTPS connections.
- Each staff member has their own login. Passwords are stored only in a scrambled (hashed) form. Staff can see only what their role and store need.
- Changes to orders, payments and stock are recorded in an audit trail.
- Our database is backed up regularly, and backups are stored securely.
- Staff are trained to keep customer information confidential.
No system is perfectly secure. If a personal data breach affects you, we will tell you without delay, explain what happened and what you can do, and report it to the Data Protection Board of India and CERT-In as the law requires.
11. Children
Many of our customers are children. We collect a child’s details (anyone under 18) only from a parent or lawful guardian who places the order and agrees to it. We use a child’s data only to test their eyes, make their eyewear and look after it. We never send offers to children or use their data for advertising or behavioural tracking.
12. Our websites & cookies
sightnsoul.com
Browsing our main website, including the online shop, does not ask for any personal data. The interactive eye chart on the home page runs entirely in your browser; nothing you do there is sent to us. If you tap “Open in Maps”, “Call” or “Ask on WhatsApp”, Google Maps, your phone app or WhatsApp takes over, under that provider’s own policy.
Online shop enquiries
- The products you add to “Your list” are kept only in your own browser until you send them.
- When you send an enquiry we receive your name, mobile number, optionally your email and message, your preferred branch and how you’d like to be contacted, and the products on your list. We use these only to call or WhatsApp you back about that enquiry, and to link it to your customer record if you buy from us. We do not keep your IP address with the enquiry.
- Sending offers needs a separate, optional tick. If you give it, we record it as your consent to promotional WhatsApp messages (see “WhatsApp, reminders & offers”); reply STOP any time to withdraw it.
- To have an enquiry deleted sooner, contact us as described under “Your rights”.
track.sightnsoul.com
- If you search by order number, we show the order’s progress, the store, the expected date and a shortened name (for example “Ramesh K.”). We never show your prescription, address or amounts.
- If you search by mobile number, we list up to 10 recent order numbers and their status for that number, without a name. Anyone who knows your number could see this list.
- After delivery you can rate your experience; the rating and comment are linked to your order.
Cookies
Our public websites do not use advertising or analytics cookies, and do not track you across other websites. Our pages load fonts from Google Fonts, which means your browser sends its IP address to Google. Our staff software uses one essential login cookie, which is only set for staff.
13. Your rights
Under the DPDP Act, you have the right to:
- Know what personal data we hold about you, how we use it, and who we have shared it with;
- Correct, complete or update it, for example a new mobile number or address;
- Have it erased when it is no longer needed, except what the law requires us to keep (such as invoices);
- Withdraw your consent to anything you agreed to, such as offers. This is as easy as agreeing was, and does not affect what we did before;
- Complain to us, and then to the Data Protection Board of India (section 14); and
- Nominate someone to exercise these rights for you if you die or become unable to.
How to ask. Visit either store, message us on WhatsApp at +91 94077 11112, or email [privacy@your-domain]. We may ask you to confirm your identity, for example by replying from your registered mobile number, so we don’t give your data to someone else. We will reply within 30 days.
You can also ask us for this policy in Hindi or another language listed in the Eighth Schedule to the Constitution.
Please give us accurate information and keep it up to date. Your glasses depend on it.
14. Grievance Officer & complaints
If you have a question or complaint about your personal data, contact our Grievance Officer:
[GRIEVANCE OFFICER NAME], Grievance Officer
Jain Opticals, Priyanka Complex, 02, Durg, Chhattisgarh 491001

15. Changes to this policy
We may update this policy when our services or the law change. The date at the top shows the latest version. If a change significantly affects how we use your data, we will tell you in store or on WhatsApp before it takes effect, and ask for your consent again where the law requires it.
